Assessment Information
The assessment tasks for BSBITU402 Develop and use complex spreadsheets are included in this Student Assessment Tasks booklet and outlined in the assessment plan below.
To be assessed as competent for this unit, you must complete all of the assessment tasks satisfactorily.
Assessment Plan
Assessment Task Overview
1. Safe work practices observation You must demonstrate setting up your workstation ergonomically and according to work organization requirements.
2. Spreadsheet production project You must plan, create, and produce a Workbook, a template, and a macro. You will then meet with the assessor to demonstrate the spreadsheets and their functions.
Assessment Preparation
Please read through this assessment thoroughly before beginning any tasks. Ask your assessor for clarification if you have any questions at all.
When you have read and understood this unit’s assessment tasks, print out the Student Assessment Agreement. Fill it out, sign it, and hand it to your assessor, who will countersign it and then keep it on file.
Keep a copy of all of your work, as the work submitted to your assessor will not be returned to you.
Assessment appeals
If you do not agree with an assessment decision, you can make an assessment appeal as per your SMC’s assessment appeals process.
You have the right to appeal the outcome of assessment decisions if they feel they have been dealt with unfairly or have other appropriate grounds for an appeal.

Naming electronic documents
It is important that you name the documents that you create for this Assessment Task in a logical manner.
Each should include:
• Course identification code
• Assessment Task number
• Document title (if appropriate)
• Student name
• Date it was created

Assessment Instructions
Each assessment task in this booklet consists of the following:
Assessment Task Cover Sheet
This must be filled out, signed and submitted together with your assessment responses.
If you are submitting hardcopy, the Cover Sheet should be the first page of each task’s submission.
If you are submitting electronically, print out the cover sheet, fill it out and sign it, then scan this and submit the file.
The Assessment Task Cover Sheet will be returned to you with the outcome of the assessment, which will be satisfactory (S) or unsatisfactory (U). If your work has been assessed as being not satisfactory, your assessor will include written feedback in the Assessment Task Cover Sheet giving reasons why. Your assessor will also discuss this verbally with you and provide advice on re-assessment opportunities as per
your SMC’s re-assessment policy.
Depending on the task, this may include
• resubmitting incorrect answers to questions (such as short answer questions and case studies)
• resubmitting part or all of a project, depending on how the error impacts on the total outcome of the task
• redoing a role play after being provided with appropriate feedback about your performance
• being observed a second (or third time) undertaking any tasks/activities that were not satisfactorily completed the first time, after being provided with appropriate feedback.

Assessment Task Instructions
These give questions to answer or tasks which are to be completed.
Your answers need to be typed up using software as indicated in the Assessment Task Instructions.
Copy and paste each task’s instructions into a new document and use this as the basis for your assessment task submission. Include this document’s header and footer.
If you are submitting electronically, give the document a file name that includes the unit identification number, the task number, your name and the date.
Checklist
This will be used by your assessor to mark your assessment. Read through this as part of your preparation before beginning the assessment task. It will give you a good idea of what your assessor will be looking for when marking your responses.

Assessment Task 1: Safe work practices observation
Task summary
For this part of the assessment task, you are required to demonstrate to your assessor that you understand and can apply the requirements for an ergonomically healthy and safe work station, as well as meeting work organisation and conservation requirements.
This assessment is to be completed in the simulated work environment in the SMC.
Required
• Access to textbooks/other learning materials
• Computer with Microsoft Office and internet access
• A chair and workstation
Timing
Your assessor will advise you of the due date of this assessment.
Submit
Answer all 6 short answer questions.
Assessment criteria
Your assessor will observe you setting up the work station and will ask you a number of verbal questions.
Re-submission opportunities
You will be provided feedback on their performance by the Assessor. The feedback will indicate if you have satisfactorily addressed the requirements of each part of this task.
If any parts of the task are not satisfactorily completed, the assessor will explain why, and provide you written feedback along with guidance on what you must undertake to demonstrate satisfactory performance. Re-assessment attempt(s) will be arranged at a later time and date.
You have the right to appeal the outcome of assessment decisions if you feel that you have been dealt with unfairly or have other appropriate grounds for an appeal.
You are encouraged to consult with the assessor prior to attempting this task if you do not understand any part of this task or if you have any learning issues or needs that may hinder you when attempting any part of the assessment.

Assessment Task 1 Instructions
Carefully read the following resources:

In particular, focus on information that pertains to the workplace you are using for this course.
Then complete the following tasks:
1. Demonstrate that you are able to set up an ergonomic/healthy and safe work station.
This should include:
• Adjusting your chair so that it is at the required height.
• Show the required position of the wrists when typing.
• Showing the required position of the keyboard and mouse on the desk.
• Identify the required distance of the screen from the eye and position the screen.
• demonstrate exercises that can be performed during rest breaks. You are not required to perform athletics; merely show that you understand how exercised can help counteract the effects of sitting at a computer for long periods of time.
Your assessor will also ask you the following verbal questions, all of which you must answer correctly.
2. Why is it important to take regular breaks from working at the computer?
3. How often should you have rest breaks?
4. Describe a recommended activity during a rest break.
5. What are two strategies for minimizing use of paper?
6. What are three strategies for conserving energy at work?
Assessment Task 2: Spreadsheet production project
Task summary
This task requires you to create several spreadsheets according to instructions and with the help of a style guide. You will then meet with your assessor, who will discuss your spreadsheets with you and ask you to demonstrate your command of the spreadsheet program’s functions. You will then produce, print, and edit a second draft of the spreadsheets, and then send the final draft to your assessor.
This assessment is to be completed in the simulated work environment in the SMC.

• Roleplay participant (your assessor)
• Style Guide

• Calculator
Timing
Your assessor will advise you of the due date of these submissions.
Submit
• Develop a spreadsheet template

• Develop a macro for the workbook
• Email with the Draft Spreadsheet Template and Draft Completed Spreadsheet attached.
• Develop a final draft of your completed spreadsheet
• Email with the Final Draft Completed Spreadsheet and screen shot attached.
• Hard copy of the second draft of your spreadsheet, with markings in pencil or pen.
Assessment criteria
For your performance to be deemed satisfactory in this assessment task, you must satisfactorily address all of the assessment criteria. If part of this task is not satisfactorily completed, you will be asked to complete further assessment to demonstrate competence.
Re-submission opportunities

Assessment Task 2 Instructions
Carefully read the following:
King Edward VII College is based in Melbourne and has been operating for 2 years. The College is growing, has recently employed new staff, and is also seeking to improve operational practices.
As part of the College’s growth, the Operations Manager has decided that an Annual Budget needs to be prepared each year. The Operations Manager wants you, as Administration Assistant to develop a template for the annual budget using excel spreadsheets.
The budget spreadsheet needs to include the following worksheets:
• Annual budget summary: lists projected income and expenditure for July 2015 to June 2016.
• Projected versus actual budget for July to September 2015 and variation to budget. The annual budget values should be linked to the values in the previous worksheet.
• Graphs showing actual versus budget for monthly income figures and monthly expenditure figures and monthly profit for the period of July to September 2015. There will be three graphs, one for income, one for expenditure and one for profit, all for the period of July to September 2015.
Use the Style Guide to develop the Workbook, but keep in mind that King Edward VII College is interested in looking at some changes to the format of their Workbooks to see if there are some alternatives that are easier to read. Consequently, you will be asked to set up a macro that will change some of the aspects of one of the Worksheets.
Complete the following activities:
1. Send an email to your assessor.
Read through the information above, the Style Guide, and the Spreadsheet Data. When you are sure that you understand what is required if you, write an email to your assessor setting out, in your own words, the steps you will go through to create the spreadsheet.
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
If you have any doubts about the spreadsheet suiting its purpose and its audience, or, if you have any questions at all about this activity’s requirements, this email is the opportunity to ask them of your assessor.
2. Develop a Spreadsheet Template.
The template should include all associated worksheets according to the requirements confirmed in your email, and as set out in the Style Guide.
Save this Workbook as First Draft Spreadsheet Template as set out on page 4 of this booklet.
3. Enter the data provided in the Spreadsheet Data document into the spreadsheet.
Save the template and the Workbook according to the naming convention and in the required file.
Save this Workbook as First Draft Completed Spreadsheet as set out on page 4 of this booklet.
4. Develop a macro for the Workbook.
King Edward VII College is interested in looking at some changes to the format of the Workbook to see if there are some alternatives that are easier to read.
Create a version of your Completed Workbook with a macro. Call the macro Timesblack.
Your macro must change a spreadsheet such that:
• All the text is in Times font
• All the text is black
Save this as Macro Spreadsheet as set out on page 4 of this booklet.
5. Send an email to your assessor.
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
It should introduce and summarise the contents of the attachments and ask for the date and time of your workstation assessment.
Attach your Draft Spreadsheet Template and Draft Completed Spreadsheet to the email.
6. Meet with your assessor.
The meeting will be held at your workstation.
While at the workstation, you should keep in mind the ergonomic principles that you were asked about in assessment task 1.
Take rest breaks away from the computer according to best practice guidelines.
During the meeting, you are required to demonstrate effective communication skills as follows:
• Use of appropriate style (formal), tone (encouraging, respectful) and vocabulary (professional, business language) for the meeting
• Speaking clearly and concisely
• Using non-verbal communication to assist with understanding
• Asking questions to identify required information
• Responding to questions as required
• Using active listening techniques to confirm understanding
At the meeting, you will also be asked to demonstrate:
a. that the formulae you have entered into your spreadsheet are correct by calculating the totals for a data sample on a calculator. For example, a period’s total income or expenditure, as well as checking the variation to budget totals. You will be asked to show how you have used relative, as well as absolute cell references to create the Spreadsheets
b. that you know how to use the help menu, as well as online help to access assistance, in creating spreadsheets. You will be expected to show your assessor how to create graphs by using the help menu, as well as online help to create graphs that can be accessed.
c. Show your assessor that you can change fonts and font size.
d. Show your assessor the macro that you have developed, and how its use changes the appearance of the Worksheet. Discuss which one is easier to read.
e. Show your assessor that you can change the graph type and layout for the charts you created.
f. That you understand and will adhere to the company’s conservation guidelines.
g. Show your electronic filing system you store your files in.
h. Show your assessor how you close down the program(s), and turn off the computer
7. Develop a second draft of your Completed Spreadsheet.
When your meeting has been concluded, finalise the second draft of your document, ensuring that it contains any changes that your assessor may have suggested.
Then print the document out according to conservation requirements as set out in the Style Guide.
8. Proofread the second draft of your Completed Spreadsheet.
Mark the pages with pencil or pen to indicate changes that you would like to make.
You should find at least one change (wider columns? More centred on the page?) that you wish to make to each Worksheet.
9. Develop a final draft of your completed Spreadsheet.
Produce a final draft of the spreadsheet that incorporates the changes that you selected in the previous activity.
Save this version as Final Draft Completed Spreadsheet.
10. Take a screen shot of your folder and files.
This activity requires you to demonstrate that you can file your records in a logical structure.
Ensure that you have an overall folder for your work, as well as sub folders if necessary.
All of the documents you have submitted for this assessment task should be correctly named and filed.
The screen shot should show all the folders and documents.
11. Send an email to your assessor within the designated timeline.
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
It should introduce and summarise the contents of the attachments.
Attach your Final Draft Spreadsheet and screen shot to the email.
12. Give your marked-up hard copy of Second Draft Completed Spreadsheet to your assessor.
Your assessor will compare this to your final draft document.
