All IT Computer Pty Ltd’s [AIC] is based in Sydney CBD. They have been operating in a small office for over 5 years. Business has grown and they have now planned to relocate to a new bigger office. Their business team has grown to 30 staff. All IT Computer Pty Ltd’s [AIC] has approached your company XYZ ICT Consulting Pty Ltd to assess their current IT, WHS and Sustainability Work practices and have propose a suitable solution.
You have been deputed by XYZ ICT Consulting Pty Ltd to work at All IT Computer Pty Ltd’s to understand the work environment and develop a solution.
Organisational Structure

Part A: ICTICT202 - Work and communicate effectively in an ICT environment
Task 1 – Develop procedures [20 marks]
You are working with the IT Help desk at All IT Computer Pty Ltd’s [AIC]. Sarah Li, receptionist of the All IT Computer Pty Ltd’s [AIC] calls the Helpdesk, and reports that she cannot find a file she is trying to open in Word. She only saved it this morning.
You notice the helpdesk did not follow a standard operating procedure. You identified a problem in the work environment and propose to develop a call handling procedure in supporting the above person.
She has not saved the file as usual on the Network drive, but got distracted and being unaware, saved the file in the folder -Personal- on the C drive. The file is called Contactlist.DOC.
Your task is to complete the following:
a. List and describe the steps, including the prompts, Helpdesk Staff would follow in supporting the user and solve the problem. [5 marks]
b. Create a Call log and document what Helpdesk staff would write in the log about [5 marks]

Your task is to design and create a fax for the following scenario.
I.T Manager, Mr Sam King has asked you to send a fax using the company letterhead.
Mr Sam would like you to complete a fax from him addressed to the General Manager, John of the ACA Pty Ltd. A copy of the fax needs to go to Mr Sam’s secretary, Kylie Johnson for filing.
ACA Pty Ltd is located at 501 George Street, Sydney 2000. Their phone number is 9824242 and fax number is 98424243. Mr. Sam would like a reply as soon as possible.
The All IT Computer Pty Ltd’s phone number is 98999999 and their fax number is 98999988. Fax must be filled with the details written above. Do remember to write your name as the sender of the Fax.
In the fax you need to include the following information:
The IBM servers that ACA Pty Ltd was enquiring about are now in stock and are ready for delivery. You can include a price list with the fax (in this scenario this is already printed on one single page ready to go – do not make it up, just mention it in your fax). The fax content will ask which printer they have decided to purchase (if any) and what quantity they require.
Task 3 – Create a Memo [10 marks]
Mr Sam has asked you to send a Memo out to the following staff in the Sales department – Karen, Lai and Ron.
The memo is to let them know the IBM servers are in stock and that they can request a price list from you. A copy of the memo needs to go to Mr Sam’s secretary, Kylie Johnson for filing.

On your first day at All IT Computer Pty Ltd’s [AIC], you were provided with verbal WHS induction by the Manager. It has been identified that staff at All IT Computer Pty Ltd’s [AIC] did not receive the WHS induction package as the organisation had recently moved to a new premises.
You have been asked by the Manager to put together a WHS induction package for staff members.

Your colleague at All IT Computer Pty Ltd’s [AIC], John Jones was working at his office PC when he decided to have a break and get a cup of coffee. As he was very busy he decided that rather than go to the canteen he would just make a cup in the kitchen and continue working.
On his way back from the kitchen he tripped and fell over a computer cord lying across the aisle. He put his hand out to break his fall but fell awkwardly, spilling his coffee. John ended up with a badly sprained wrist and a burnt hand. You witnessed John Jones fall and helped him.
